Everything a station loses money on, watched

Where are my losses? What is in my tanks? Are my prices right? Can I trust my team? How is the business doing? Kiwi answers all five.

Losses

Stop the silent losses

Fuel rarely disappears in one big theft. It leaks out in small unrecorded gaps, and Kiwi makes them visible while they are still small.

  • Daily shortage detection. Pumps against tanks, checked every day. A pattern shows in days, not at the end of a bad quarter.

  • Per-pump tolerances. Normal meter drift is expected and set per pump. Nobody is accused over 2 litres; a 38-litre gap is not excused.

  • Automatic checks for sharp practice. Six background checks: missing readings, suspicious jumps, meters going backwards, duplicates, negative stock, pump-to-tank mismatches.

  • Return-to-tank records. Testing and maintenance fuel is logged separately. Routine work never looks like theft; theft cannot hide behind testing.

  • Corrections with a trail. Mistakes are fixed through a correction record. Every change keeps who, when and why.

  • Reading schedules. A skipped dip is flagged the same morning, not at month end.

Stock

Always know what is in your tanks

Running out costs you customers. A short delivery costs you margin. The cure for both is stock figures you can trust.

  • Dips to litres. Every dip converts using the tank's own calibration chart. Upload yours or let Kiwi generate one.

  • Low-stock alerts. Warning levels per tank. You hear while there is still time to order.

  • Delivery records. Waybill against measured quantity, per product, with the driver on record.

  • Stock ledger. Every movement is one ledger entry. "How did we get here?" always has an answer.

  • Physical counts and reconciliation. Count what is there and match it against the ledger, for fuel and shop stock.

Pricing

Price with confidence in a moving market

Deregulation made pump prices a weekly matter. Kiwi makes changing them a five-minute task and keeps the books clean through every change.

  • Scheduled price changes. Set the price and time once. Every branch switches together, automatically.

  • Meter snapshots at changeover. Readings captured at the switch, so old-price and new-price litres stay separate.

  • Price timing reports. See which branches confirmed on time and which lagged.

  • Branch-level overrides. One price for the network, a different one where the market demands it.

  • VAT and fuel tax built in. Tax worked out per product and period. Your returns come from records.

  • Margin analytics. What you actually earned per litre after cost, tax and losses.

People

A team you can stand behind

Who opened the pump? Who took the reading? Who changed the price? Kiwi answers without anyone having to remember.

  • Shift sessions with meter readings. Each shift opens and closes with readings. Litres sold per person, per shift.

  • Roles that match your station. Attendants see their pumps, supervisors their shift, managers their branch, you see everything.

  • Every action logged. Readings, edits, price changes and approvals all carry who and when.

  • Simple onboarding. A phone number gets a staff member working in minutes. Access ends the day they leave.

  • Alerts to the right people. A branch issue alerts the branch manager, not everyone.

Visibility

See the whole business, not just today's cash

Record the daily work properly and the big questions become easy: which branch is slipping, which product carries the margin.

  • Live dashboard. Sales, litres, shortages and tank levels for every branch, from your phone.

  • Loss and gain analysis. Where fuel is going beyond sales, by branch, product and period.

  • Delivery performance. Who delivers full, who delivers short, who is always late.

  • Stock on hand and valuation. What you are holding and what it is worth.

  • Excel and PDF export. Every report exports cleanly. Your data remains yours.

Good to know before you ask

Readings are entered by your staff, by design

No sensors or pump integrations. Your team enters dips and meter readings on their phones; the routine itself builds accountability.

It runs in the browser and is light on data

No app store downloads. Pages load well on ordinary mobile data; you need an internet connection.
